This policy explains what personal information Edro Media collects when you use this website or get in touch with us, why we collect it, and what your rights are. We keep it short and in plain English. If anything is unclear, email sam@edromedia.co.uk.

Who we are

Edro Media provides admissions marketing, photography, video and content services to schools in the UK. We are the data controller for the information described in this policy. You can contact us about anything to do with your data at sam@edromedia.co.uk.

What we collect and why

Enquiries and audit requests. When you fill in a form on this site or email us, we collect your name, email address, your school and role, and whatever you tell us about your admissions situation. We use it to reply, to book and run your free audit call, and to prepare a quote if you ask for one. Our lawful basis is legitimate interests (responding to a business enquiry you have made) and, where we go on to work together, performance of a contract.

Working with your school. If your school becomes a client, we hold the contact details of the staff we deal with and the information needed to deliver the work. Photographs and video of pupils are never collected through this website; they are captured only under a written agreement with the school, to the school’s own consent and safeguarding arrangements, with the school as controller and Edro Media as processor. Our school-safe process is available on request.

Website analytics. Our site is hosted by Squarespace, which collects standard visitor analytics (pages viewed, approximate location, device and browser type) so we can see how the site is used. This is aggregated and does not identify you. Squarespace also sets cookies that are needed for the site to work. You can control cookies in your browser settings.

We do not sell personal information, we do not buy marketing lists, and we do not send marketing emails unless you have asked for them. You can opt out at any time by replying to any email from us.

Who we share it with

We use a small number of suppliers to run the business, who process data on our behalf under contract: Squarespace (website hosting and forms), our email and calendar provider, and our cloud storage. If we run paid advertising for your school, campaign data is held in the advertising platform’s account (for example Meta) under the school’s agreement with us. We do not share your information with anyone else unless the law requires it.

How long we keep it

Enquiries that do not lead to work are deleted after 12 months. Client records are kept for the length of the contract and for six years afterwards, as required for accounting purposes. Pupil images are retained only for the period agreed with the school and are then deleted from our systems.

Your rights

Under UK GDPR you can ask us for a copy of the information we hold about you, ask us to correct or delete it, object to how we use it, or ask us to restrict what we do with it. Email sam@edromedia.co.uk and we will respond within one month. If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.

Changes

If we change this policy we will update the date at the top of this page. Significant changes will be flagged to current clients directly.
